Set up your approval policy based on your company's guidelines

What is an approval policy?

An approval policy allows you to control which expenses need to be approved and who should approve them.

By adapting the approval policy to your company's guidelines, you can automate the approval flow and ensure that the right person reviews the right expenses.

How does the approval policy work?

The approval policy consists of approvers and conditions. Together, they determine when an expense needs to be approved and by whom.

1. Approvers

Approvers are the people responsible for reviewing and approving an expense when the conditions are met.

You can add multiple approvers if an expense needs to be approved in several steps.


2. Conditions

Conditions determine when an approval applies.

For example, you can set conditions based on:

  • The expense amount

  • The merchant

  • A combination of the amount and merchant

Examples of approval policies

By combining conditions and approvers, you can set up an approval policy where, for example:

  • Expenses over SEK 1,000 must be approved by Person A.

  • Expenses over SEK 5,000 must first be approved by Person A and then by Person B.

This allows larger expenses to require multiple approvals at different stages, based on your company's guidelines.

Use Intelligence in your approval flow

With Intelligence, AI can be used as part of the approval flow to automatically review expenses based on your company's expense policy.

If Intelligence cannot make a confident decision, the expense is forwarded to the human approver in the approval flow.

To use this feature:

  • Intelligence must be enabled for your company's account.

  • Intelligence must be enabled in the relevant approval policy.

  • Your company's expense policy must contain clear criteria that Intelligence can evaluate.
